A Microsoft Teams Room is actually a hardware kit, installed in a meeting room or collaboration space to provide high quality, easy-to-use video conferencing for hybrid meetings. This is managed using a central device (controller) that is compatible with Microsoft Teams software.

These devices feature everything needed to get your meeting room(s) video conference ready. Obviously the suitability of each of these devices is dependent on the room, available budget and what is required. 2. Is any meeting space suitable for Microsoft Teams Rooms?

The beauty of a Microsoft Teams Room is that it is fully scalable. This means that Microsoft Teams Rooms kits are compatible with huddle spaces, small, medium and large meeting rooms. 

And with the addition of additional microphones and speakers (and if necessary cameras) Microsoft Teams Rooms can be created in large boardrooms and very large spaces such as auditoria and town halls. 

3. How much does a Microsoft Teams Room cost?

Microsoft Teams Room prices will vary depending on the size of the existing room you wish to convert. Below are prices typical of what you may expect to pay for common meeting room sizes: 

  • Huddle room – 2-4 people – £1500.00 + VAT
  • Small meeting room – 4-8 people – £2250.00 + VAT
  • Large Meeting Room – 8–12 people – £3500.00 + VAT

It is important to note that these prices will be dependent on there already being a working TV in the room.

4. What is the difference between Microsoft Teams and Microsoft Teams Rooms?

Microsoft Teams is team collaboration software. If you have an Office 365 account, you will already have access to this included within your subscription. 

A Microsoft Teams Room is the physical space that encompasses this software with the AV hardware required for enhanced team collaboration. It allows you to enter the room and join a pre-arranged meeting with the touch of a button, call another Microsoft Teams Room and much more. 

5. Do I need a licence for Microsoft Teams Rooms?

Yes. A Microsoft Teams licence is included as part of your Office 365 package. To run a Microsoft Teams Room an additional licence is required. 

There are two licences available: 

Microsoft Teams Rooms Basic 

This licence provides core meeting experiences to organizations that purchase a certified Microsoft Teams Rooms system, at no additional cost. The Teams Rooms Basic license includes scheduling, joining meetings, content sharing, and collaborative white boarding, as well as basic security and management capabilities out-of-the-box. 

You can assign up to 25 Microsoft Teams Rooms Basic licenses to Teams Rooms systems in your organization. If you need to license more than 25 Teams Rooms systems, those additional licenses need to be Teams Rooms Pro licenses. Teams Rooms Basic licenses can be used to license Teams Rooms systems only and not Teams Panels. 

Microsoft Teams Rooms Pro 

This licence delivers enhanced in-room meeting experiences like intelligent audio and video, front row and large galleries, and dual screen support. The Teams Rooms Pro license also provides advanced management features like remote device management, conditional access policies, and detailed device analytics. 

Teams Rooms Pro is a great fit for medium and enterprise organizations, as well as smaller organizations with larger room counts or more advanced needs. Teams Rooms Pro licenses can be used to license both certified Teams Rooms systems and Teams Panels. 

Basic is an apt description of the free licence and is appropriate if budget is really an issue. However, to enjoy all the features and benefits of Microsoft Teams Rooms a Pro licence is necessary. 6. Are there any other uses for Microsoft Teams Rooms?

As well as offering superior video conferencing functionality, Microsoft Teams Rooms can be used to:

A Signature Room is a combination of Teams Rooms software, hardware and room configuration. Typically, this means using the Front Row layout with 21:9 screens, short throw projectors and curved or teardrop shaped in room tables. The idea is to bring all meeting participants  

Signature Teams Rooms are designed with next-generation room standards, making collaboration easier and interactions more engaging and inclusive across your meeting spaces. In medium and large spaces, a curved table encircles the audiovisual (AV) equipment stack and faces a large, 21:9 aspect ratio display to foster more immersive connections with remote participants. For smaller rooms, a gumdrop or guitar pick-shaped table helps achieve that same degree of face-to-face engagement. 

9. What is front row

Front Row is a 21:9 aspect ratio widescreen layout that enables multiple content types to be displayed at the same time on a single screen. So typically video tiles of meeting participants at desktop level, centrally located presentation content and sidebar chat windows. 

Front Row is a core component of Microsoft’s Signature Teams Rooms. 

10. What is the Microsoft Teams whiteboard feature?

This is a software feature that’s integrated within Microsoft Teams and can be used as a collaborative tool within a video call. 

11. Who can install a Microsoft Teams Room?

Generally, the easiest way to install a Microsoft Teams Room is with the help of an AV integrator. 

Most of the recommended Microsoft Teams Room hardware suppliers, such as Crestron, Logitech and Lenovo, will have a list of certified integrators. These are AV installers that they recommend as having undertaken a high level of training and demonstrate a strong level of expertise when it comes to their video conferencing solution. 12. What hardware is essential for Microsoft Teams Room?

When you purchase a Microsoft Teams Room kit, it includes everything other than the TV screen (or preferably Professional Display). This is the only additional requirement for your room – you don’t need to worry about cameras, microphones or any other pieces of hardware. 

13. Should I choose Microsoft Teams Rooms or Zoom Rooms?

It really depends on what collaboration software your teams are already using, and for a lot of companies they are using a mixture both. If you have a Microsoft 365 subscription then it probably makes sense to choose Microsoft Teams Rooms. Particularly as you can dial into Zoom meetings from your Teams Room with Direct Guest Join. And Cisco Webex. 

If you aren’t a Microsoft 365 user then Zoom offers ease of use and more flexibility. Direct Guest Join provides access to Microsoft Teams in return, but it also provides one-click access to Google Meet, Cisco Webex, GoToMeeting, Fuze and Blue Jeans and is generally more open to third party applications. 

Third party interoperability services such as Polycom RealConnect, Pexip and GoToMeeting InRoom are also available enable Teams Rooms and Zoom Rooms to connect to other SIP/H323 video calls.

14. Is this solution suitable for use in a home office?

Yes, as the only requirement is a physical room / meeting space and a TV screen, it is easily integrated into a home office.
