When a client reported that their company laptops could no longer use the BYOD functionality in two meeting rooms, what appeared to be an AV hardware fault turned out to be something far less visible and far more complex to diagnose. Through a combination of rapid remote support and a targeted onsite visit, MVS Lead Service Help Desk Engineer James Herbert pinpointed the true cause and gave the client a clear path to resolution, without replacing a single piece of equipment.

The challenge

A full-service communications agency in Westminster found that BYOD functionality had stopped working across two of their meeting rooms. Staff using company-managed MacBooks were unable to connect through the WPP30 wireless sharing dongles on their Yealink MeetingBar A40 systems, leaving both rooms effectively out of action for anyone on a managed device.

For a busy agency relying on these spaces for client meetings and day-to-day collaboration, the impact was immediate. With no obvious cause pointing to the hardware, it wasn’t clear where the problem lay or how long it might take to resolve.

A fast response

MVS responded to the support ticket within two hours, with James reaching out promptly to organise a call and begin investigating. With no maintenance contract in place, this responsiveness wasn’t guaranteed, but it reflects how the team approaches every support request.

Remote investigation

Rather than attending site immediately, James worked through a thorough remote troubleshooting process first. This included updating the firmware on both MeetingBar systems, performing factory resets, re-pairing the WPP30 dongles, and testing with unmanaged Windows laptops.

A key moment came when James asked the client to try connecting with a personal laptop. It worked immediately. That single test was the turning point, revealing that the issue wasn’t with the AV equipment, the firmware, or the network, but with the restrictions applied to company-managed devices specifically.

Onsite investigation

On site, testing with managed and unmanaged devices side by side removed any remaining doubt. The Yealink systems were fully operational, and BYOD worked without issue on unmanaged Windows and Mac devices.

This confirmed that the Yealink Pod application was being silently blocked from launching. Without it running, screen sharing, camera input, and audio routing were all unavailable. The room appeared broken, but the AV was never the problem.

Root cause

The issue was traced to the agency’s Mobile Device Management (MDM) policy. Security restrictions on managed devices were preventing the Yealink Pod application from running, which in turn blocked all BYOD functionality. There was no error message and no obvious indication anything was wrong, which is precisely what made it so difficult to diagnose without methodical investigation.

The solution

Working alongside the client’s IT provider, James identified exactly what needed to change: whitelisting the Yealink Pod application, updating MDM policies to permit USB accessory and screen-sharing permissions, and removing the application execution restrictions. With a clear set of actions in hand, the agency’s IT team had everything they needed to restore BYOD across all company laptops.

The outcome

  • Both meeting rooms restored to full functionality
  • No hardware replacement required, saving unnecessary cost and disruption
  • Root cause clearly identified and documented, giving the IT team a precise remediation path
  • IT provider equipped with the specific MDM policy changes needed

What the client’s Office Manager said

“We honestly do not have enough words to express how grateful we are… James was right there with us, never giving up and never making us feel alone… His persistence truly paid off, it was James who ultimately cracked it. Without his determination, we would never have reached that conclusion. He didn’t have to go as far as he did, but he did, and it meant the world to us. He is the kind of person who makes you feel truly valued as a customer.”

Key takeaway

Not every meeting room fault is an AV problem. Sometimes the technology is working exactly as it should, and the real issue is buried in a security policy that nobody knew was causing harm. MVS brings the diagnostic expertise to find that answer, whether it takes remote testing, a site visit, or both.
